Construction projects

Context

A construction project has budgets by category, buys materials and subcontracts against the project, and bills on accepted milestones. You need to see real cost (including PO commitments) before overrunning.

Who is involved

  • PM / site manager: plan, Milestones, approve time
  • PMO: approve budgets and Budget versions
  • Purchasing: PR → PO, subcontractors
  • Storekeeper: issue materials to the project
  • Accounting: milestone Invoices, Bills

Apps & switches to turn on

  • Projects & Tasks
  • Procurement
  • Inventory
  • Finance, Accounting
  • Switch: projects.budget_enforcement (off / warn / block)

Flow

  1. Project (budget ≥ threshold ⇒ kickoff approval)
  2. PR from project → PO → GRN / Service Confirmation
  3. Materials issued to the project; PM-approved time
  4. Milestone achieved → Invoice
  5. Track the four cost legs against budget

Initial setup

  1. Create a project template with phases, milestones and roles.
  2. Set the budget by category.
  3. Choose the budget gate mode.

Daily / monthly operations

  • Daily: log time, issue materials.
  • Weekly: PM approves time, reviews risks.
  • Monthly: accept milestones, invoice, propose a Budget version when needed.

Common scenarios

AI assistants

  • Project assistants read cost from the same definition as the screens; with a budget in another currency they report it instead of converting.
