Creating & assigning

Create a task

Open the form

Click Create task from My Tasks, All Tasks, Overview or inside a project. Every button opens the same popup; when opened from a project, the project is prefilled and locked.

Fill in the essentials

  • Title (required) and description
  • Project (optional) — only projects you may add work to are listed: you own it, you are a non-view-only member, or you are a project admin; projects in a status that refuses new tasks (e.g. closed) are hidden
  • Assignee, priority (low, medium, high, urgent), start date, due date, estimated hours
  • Type (task, bug, feature, story, epic, spike, chore) and tags

Save

The task is created as To Do if it has an assignee, or Backlog if nobody is assigned yet.

The /tasks/new page still exists for direct links (command palette, links from other apps), but day to day you use the quick-create popup.

Picking an assignee

People are ordered by relevance: project members → team members → people in your department → other departments, each shown with their department so namesakes are easy to tell apart.

“Someone must own it outside Backlog” (on by default): only Backlog or Cancelled tasks may have no assignee. To move a task to To Do, In Progress, etc. you must pick someone first. You also cannot remove the owner of a task already in flight.

  • Assigning to a team (team queue) or adding co-assignees does not replace the primary assignee.
  • Picking a person clears the team, and vice versa — a task is never “the team’s” and “a person’s” at the same time.

Co-assignees (Co-work) & splitting hours

A task has one primary assignee and any number of co-assignees. On the task’s Assignments card, enter an estimate per person:

  • Per person mode (default): people with their own estimate keep it; the rest of the estimate is split evenly among the others.
  • Split evenly mode: the estimate is always divided equally; per-person hours are not entered.

When a task has subtasks, the parent only carries the remaining estimate (parent estimate minus the sum of non-cancelled subtask estimates) so workload is never counted twice.

Capacity check when assigning

When the task has a date range, the people list shows capacity / allocated / available for that range. Capacity follows the work schedule, minus public holidays and approved leave. Depending on settings, the system only shows it, warns and asks again when the person is over capacity, or hides it entirely.

Subtasks

Open a task → Subtasks → Add (two levels maximum: task → subtask). With inherit defaults on, fields you leave blank come from the parent: project, deliverable, assignee, priority and date range (if both dates are blank).

  • A subtask is always in the same project as its parent. Moving the parent moves its subtasks.
  • Subtask dates outside the parent’s range trigger a warning or a block, depending on settings.
  • When the first subtask starts, the parent can automatically move to In Progress.
  • Parent progress can be entered manually or shown as a rollup of subtask hours / completed count.

Milestones and deliverables (project tasks)

For project tasks, the project manager can link a deliverable and a milestone right on the form or detail page. A task has at most one direct milestone; linking a deliverable that already has a milestone puts the task under that milestone. If the task is due after the milestone, the detail page shows a warning.

Import from CSV

In All Tasks → Import, upload a CSV file (up to 500 rows per run). Errors are reported per row (row numbers start at 1) so you can fix and re-import only the failed rows.

Clone a task

From a task’s menu choose Clone to create a copy (keeping project, people, priority…) and adjust it.
