Status & review
Statuses
| Status | Meaning |
|---|---|
| Backlog | Idea / unplanned work; may have no assignee |
| To Do | Planned, has an assignee, not started |
| In Progress | Being worked on (the actual start date is recorded the first time it enters this status) |
| In Review | Submitted by the assignee, waiting for the reviewer |
| Done | Finished (and approved, if the review workflow is on) |
| Cancelled | No longer needed; excluded from progress and dependency constraints |
Every place that changes status — detail page, drawer, Kanban, inline editing, the completion checkbox, bulk actions, daily log, mobile, Team Chat — applies the same set of rules.
Basic vs advanced mode
- Basic (default for existing organizations): move freely between statuses.
- Advanced task management (on by default for new companies): a stricter transition matrix, some transitions require a reason, and the review workflow is enabled.
The review workflow
The assignee submits
On an in-progress task, the assignee clicks Submit for review (or submits from the Daily log). The task moves to In Review. If the task still has open subtasks or an unfinished predecessor, the system blocks it right away — the assignee cannot submit something the reviewer could not approve.
The assignee can Withdraw it while it is not yet reviewed.
The reviewer decides
Someone with approval permission opens Review, scores each criterion (1–5 scale) and chooses:
- Approve → the task moves to Done
- Request changes → the task goes back to the assignee with comments
History
Every submission, approval and change request is kept in the review history, with the scores and the criteria names / weights as they were at scoring time.
By default the assignee cannot approve their own task. The organization can allow self-approval, or conversely allow only the designated reviewer on the task to approve — see Settings.
Scoring criteria
There are four criteria by default: Quality 35%, Volume 25%, Timeliness 25%, Effort 15%. Admins can rename them (Vietnamese / English), change weights, add new criteria or disable old ones in Tasks → Settings:
- Active criteria weights must total 100
- At most 8 criteria active at once
- A criterion that has been used cannot be deleted — only disabled, so past scores still read correctly
When approving, a score for every active criterion is required. Some criteria (such as Timeliness) can be suggested automatically from the task’s data.
Review scores into KPIs
With Review scores feed KPIs on, the overall score (0–100) of each review becomes data for KPI metrics in the Performance app — performance evaluation based on actual work results rather than impressions.
