Requesting and tracking leave
When to use
Use this whenever you need time off. The balance you see is the same one HR uses, and the request goes through the same policy, holidays and approval flow as a request entered at the HR desk.
Before you start
- Permission:
hr:own(every signed-in employee has this through the portal). - The portal always acts on your own record; you cannot request on behalf of someone else here.
- You can save a draft, attach supporting documents, and submit later.
Open the leave screen
Go to Self-Service → Leave to see your current balances by leave type before you request.
Submit a request
Choose the leave type, dates, and reason. The portal checks your balance and blocks the request if it exceeds what’s available.
Track approval
Watch the request move through the approval chain. Once approved it appears on your attendance and the company calendar, and Payroll deducts it automatically.

Leave request statuses
| Status | Meaning | Who moves it |
|---|---|---|
| Pending | Submitted, waiting for approval | You submit it |
| Approved | Accepted; days are deducted | HR or the approver in the leave module |
| Rejected | Declined | HR or the approver in the leave module |
| Cancelled | Withdrawn | You, only while it is still pending |
Days that cross a year boundary are split per calendar year, so each year’s balance is checked and reserved correctly.
Tips & common mistakes
- Check the balance by type before choosing dates.
- Attach the proof for leave types that need it before you submit.
- Cancel while the request is pending; once decided, ask HR.
- The leave type list on the form shows only types you can use.
