Purchasing
Common operating scenarios for Purchasing. Each page answers: what to do, why, the steps and what to avoid.
| Scenario | Short answer |
|---|---|
| Purchase Order over the approval threshold | Let the Procurement threshold rule route the PO to the approval Inbox and approve step by step. |
| 3-way match mismatch | Resolve the exception in Procurement with the AP skill; never pay while the exception is open. |
| Suspected duplicate vendor Bill | Read the AP skill warning and decide before paying; never pay twice. |
| Billing an outsourced service | PO → Service Confirmation → Bill (form ?scId=, takes the whole document). |
| PR line does not match a budget line | Tag the PR line with account / cost center / category. |
| One requisition, several vendors | Convert the PR to POs line by line; each PO consumes exactly the PR line quantity. |
| Requisition from a project | Create a PR linked to the project; cost flows into the project’s purchasing leg. |
| Returning goods to a vendor | Create a vendor return from the PO or GRN. |
| Item refused on a requisition | Turn on purchasable (can_purchase) for the item, or pick another item. |
| Access by purchasing category | Turn on purchasing categories and grant access per category: request, view, approve, manage. |
