Limits, troubleshooting & FAQ
What’s the difference between billable and non-billable time? Billable time can be invoiced to a client through Finance; non-billable time (internal work, admin, training) never reaches an invoice but still counts toward utilisation reports.
What’s the difference between Entries and General Entries? Entries log time against a specific project and task (for billing and project cost). General Entries log time that isn’t tied to a project — internal meetings, admin, or ad-hoc work — so total hours still reconcile against attendance.
How does overtime get paid? Overtime must be requested and approved through Attendance. Approved hours flow to Payroll, which applies the configured overtime rate in the pay run — unapproved extra hours are not paid automatically.
Do I need physical devices to track attendance? No. Employees can clock in/out directly in Attendance from the app. Devices are optional for on-site terminals where staff punch in at a shared terminal, and XBuddy supports the ZKTeco push protocol natively for compatible biometric/card readers.
Why hasn’t my time reached the invoice? Only approved billable entries are available to Finance. Check the timesheet is submitted and approved in Approve, and that the entries are flagged billable and linked to the correct project.
Can I compare actual hours to expected hours? Yes. Schedules define expected hours, and Attendance and Reports compare actuals against them, flagging shortfalls and overtime.
Why did attendance move out of HR? So there’s a single app for all time capture, whether it’s “what was the time spent on” (entries) or “when did the person actually work” (attendance). HR keeps ownership of the person’s record, leave, and self-service; Time Tracking owns the clock.
