Knowledge Base integration

Documents and the Knowledge Base app (/knowledge) serve different purposes and are not the same thing — but they connect in a few useful ways:

  • Documents is for files (PDFs, spreadsheets, signed contracts, uploads) with versioning, folders, and entity attachments. Knowledge Base is for written articles (how-tos, policies written directly in the app, FAQs) with a publish/review workflow.
  • A Knowledge Base article can attach or link supporting documents from the library, so a policy article can point directly at the signed PDF that backs it up.
  • Both surfaces are indexed into the same AI search layer, so a Copilot question can be answered by a KB article, a document’s content, or both — whichever is the better match.
  • If you’re trying to decide where something belongs: a living reference someone will read and edit over time → Knowledge Base; a discrete file that needs versioning, an owner, and possibly a signature → Documents.
