Keeping content fresh

Stale internal docs are dangerous — surface and fix them.

When to use

Run this check on a regular rhythm, for example monthly, or after a process change, so staff do not follow outdated instructions.

Before you start

  • The AI Hub is at /knowledge/automation/agents.
  • The Knowledge Curator creates drafts and proposals only; it never publishes on its own, so a person with edit rights must review them (kb:write).

Steps

  1. Open /knowledge/automation/agents (AI Hub).

  2. Review the insights: articles not updated for over 90 days, and categories with few published articles.

  3. For an article rated poorly, run the improvement advisor to get a suggested rewrite; for a thin category, run the gap filler to get a title and outline.

  4. Edit the article, then republish (through review if your company requires it). Updating resets the clock for the 90-day check.

Tips & common mistakes

  • Treat AI output as a draft; check facts before publishing.
  • Do not archive an article only because it is old; first check whether the process still applies.
  • Assign an owner to each stale page, otherwise it will show up again next cycle.
