Help Center

XBuddy has a built-in Help Center you can open from any page in the app — no need to leave what you’re doing or search a separate website. It gives you contextual suggestions for the page you’re on, full-text search across the entire documentation site, and an AI Assistant that can answer questions in plain language.

The Help Center is completely separate from the AI Copilot (the chat icon used for business tasks like drafting emails or summarizing records). The Help Center never reads your company’s business data — it only knows about help articles and documentation.

How to open it

Look for the ? (question mark) icon in the top bar, next to your notifications and profile menu. It’s available on every page, in every app.

Click it to open the Help Center panel in the corner of your screen. Click the X or click anywhere outside the panel to close it.

The three tabs

Suggestions

The first tab opens automatically when you’re inside an app (CRM, Finance, HR, etc.). It shows a short list of help articles picked for the module you’re currently using — so if you open Help while on an Invoices page, you’ll see articles about invoicing, not HR onboarding.

  • If nothing is suggested yet for the page you’re on, you’ll see a short “no suggestions” message — switch to Search or Ask Assistant instead.
  • Click any suggestion to open the full article in a new page.

Type a question or keyword to search across all published help articles, not just the current module. Results appear as you type, ranked by relevance, with a short excerpt so you can tell which article actually answers your question before clicking into it.

Use Search when:

  • You already know roughly what you’re looking for (e.g. “purchase order approval”)
  • Suggestions didn’t have what you need
  • You want to browse documentation for a different app than the one you’re in

Ask Assistant

The AI Assistant tab lets you ask a question in your own words and get a direct answer, generated from XBuddy’s documentation using retrieval-augmented generation (RAG) — meaning it looks up relevant articles first, then writes an answer grounded in them, and shows you which articles it used as citations under the answer.

Click a citation to open that article and read the full context.

Unlike a generic AI chatbot, the Assistant only answers from XBuddy’s own documentation. If something isn’t documented yet, it will say so instead of guessing — it won’t invent a feature or a menu path that doesn’t exist.

Tips for getting good answers

  • Be specific. “How do I set up a Zalo integration?” gets a better answer than “how do I use messaging”.
  • Name the screen or feature if you know it — mentioning “Chart of Accounts” or “Leave Balances” helps both Search and the Assistant find the right article faster.
  • Ask one thing at a time. If you have two unrelated questions, ask them separately so each answer stays focused and the citations are relevant.
  • Use your own language. The Assistant understands natural questions in both English and Vietnamese — you don’t need to guess the exact menu wording.
  • Check the citations. If an answer references an article, opening it gives you the complete step-by-step instructions (screenshots, edge cases) that a short chat answer can’t always include.
  • If the Assistant says it doesn’t know, try rephrasing, or switch to Search — sometimes the right article exists but uses different wording than your question.

How admins can improve the help content

Everything the Help Center surfaces — suggestions, search results, and the Assistant’s citations — comes from your tenant’s Knowledge Base articles that are marked as help/documentation content. If your team publishes or updates a Knowledge Base article, it gets indexed and becomes searchable and citable within the Help Center shortly after.

This means the Help Center gets more useful over time as your admins and power users write internal how-to guides, FAQs, and troubleshooting notes — not just for the official XBuddy docs, but for your own company’s specific workflows and conventions.

To contribute content that the Help Center can use:

1. Write or update a Knowledge Base article

Go to your Knowledge Base app and create an article — a how-to guide, an internal policy, an FAQ, or an answer to a question your team asks often.

2. Publish it

Draft articles aren’t indexed. Publishing makes the article eligible to appear in Help Center suggestions, search, and Assistant answers.

3. Give it a clear title and description

Since Search and the Assistant match on title, description, and content, a clear, specific title (e.g. “How to void a paid invoice” rather than “Invoice notes”) makes it much more likely to surface for the right question.

Indexing happens automatically after publishing, but it isn’t instant. If you just published an article and don’t see it in the Help Center yet, give it a few minutes and try again.
