Submitting and tracking an internal request
Employees submit internal requests from Self-Service, not from the Approvals app itself — Approvals is where the request is reviewed, not where it’s filed.
Pick a request type
From Self-Service → Requests, choose the type that matches what you need (IT support, cash advance, purchase proposal, expense claim, etc.) and fill in its form.
Submit
Once submitted, the request enters its configured chain (if it has one) and its status becomes in progress. If the type has no chain, it may still be decided directly by someone with the right permission.
Track it
Follow the request’s status from Self-Service, or from Approvals → Sent if you have access there. You’ll see which step it’s at and be notified as soon as a decision is made — approved, sent back to you for changes, or rejected.
What happens at each outcome:
- Approved at the last step — the request is complete. Depending on the type, this may automatically create a downstream record (see expense claim materialization below).
- Sent back for revision — the request returns to you with a note on what to fix; update it and resubmit. It stays the same case (the same chain instance picks up where it left off) rather than starting a brand-new approval from scratch.
- Rejected — the chain stops immediately at whichever step rejected it. Approvers later in the sequence never see it, and you’re notified with the reason.
