Worked 6 hours, bill the customer 4

Choose a flow

Situation

Staff worked the full hours but the PM decides to bill only part.

Recommendation

Write down at line approval with a reason — worked hours stay unchanged.

Why

Worked hours drive cost, utilization and payroll; billable hours drive the unbilled queue and Invoice. A write-down is a commercial decision, so cost and pay do not change. A full write-down (0 hours) never enters the invoice queue; rejecting the line clears the write-down.

Steps

  1. The PM opens the time line to approve.
  2. Enter billable hours lower than worked hours.
  3. Pick a write-down reason (required).
  4. Approve the line.
  5. Create the T&M Invoice — only billable hours are included.

Avoid

  • Reduce worked hours to bill less — cost and payroll go wrong.
  • Enter billable hours above worked hours (refused).

Roles & permissions

The project PM approves time. Bulk approve and the AI assistant approve full hours, no write-down.
