Billing overtime to the customer

Choose a flow

Situation

A project time line includes overtime and the contract allows a premium.

Recommendation

Record the OT part on the time line; turn on the project’s OT premium to bill OT at its own rate.

Why

Each hour reaches each destination exactly once: customer Invoice, internal charge, payroll. With the project OT premium on, the Invoice splits regular hours and OT hours times a separate selling multiplier. On the payroll side, OT is paid only via an approved OT request.

Steps

  1. Staff log time with the OT part (OT cannot exceed total hours).
  2. The PM approves; approving a line with OT creates a pending OT request in HR (if the switch is on).
  3. If the project OT premium is on, the Invoice splits regular and OT lines.
  4. HR approves the OT request for payroll.

Avoid

  • Treat OT in the log as already paid OT.
  • Enter OT as a separate time line unlinked to the original.

Roles & permissions

Employee; PM; HR approves OT; accountant invoices.
