Engagements and sessions
An Engagement is the coach–coachee relationship under a program; Sessions are the individual meetings that move it forward.
When to use
Use this to run the actual coaching: pair a coach with a coachee under a program, schedule sessions, record notes and actions, and see progress. The engagement is the record that the whole journey hangs on.
Before you start
- Permissions:
coaching:readandcoaching:writefor engagements;coaching_sessions:readandcoaching_sessions:writefor sessions and action items. - A coach cannot coach themselves, and a coachee cannot have two active engagements in the same program.
- Toggle
people.coaching_external_enabled(default off, on for new companies): allows coachees from outside the company, taken from CRM contacts. - Toggle
people.coaching_require_intake_assessment/people.coaching_require_outcome_assessment(default off): block activating or completing without an intake or outcome score.
Create an engagement
Go to Coaching → Engagements (/coaching/engagements) and pair a coach with a coachee (or cohort) under a program. Set goals and a target end date.
Schedule sessions
Go to Coaching → Sessions (/coaching/sessions) and schedule sessions for the engagement, each with a date, agenda, and focus competency.
Run and record
After each session, capture notes, action items, and competency ratings. Progress rolls up to the engagement and appears in the coachee’s portal.

Engagement statuses
| Status | Meaning | Who moves it |
|---|---|---|
| Active | Journey running | The coach or coordinator |
| Paused | Temporarily stopped; can resume | The coach or coordinator |
| Completed | Finished; certificates can be issued | The coach or coordinator |
| Cancelled | Ended early | The coach or coordinator |
Completed and cancelled are final.
Session statuses
| Status | Meaning | Who moves it |
|---|---|---|
| Scheduled | Planned | Created by the coach or generated from the plan |
| Completed | Held; notes and action items recorded | The coach |
| Cancelled | Not held; a reason is required | The coach |
A milestone that needs a competency snapshot blocks completing the session until the snapshot exists. With people.coaching_require_coachee_reflection on, an engagement cannot complete while a held session lacks the coachee’s reflection.
Tips & common mistakes
- Creating an engagement from a program generates its sessions, action items and LMS links automatically.
- Always give a reason when cancelling a session.
- Calendar events are created for sessions by default; turn off
people.coaching_calendar_syncif you do not want that. - Linked OKR, IDP and KPI goals show progress read-only; they are not updated by coaching.
