Timesheet billing and rate cards

Approved, billable time becomes an invoiceable line item. Each time entry carries an hourly rate, either entered manually or pulled from a rate card — a saved default rate and currency that you set up once and reuse, instead of retyping the same figure on every entry. Once an entry has actually been billed on an invoice, it’s locked from further edits.

Create a rate card

Go to Finance → Timesheets → Settings and add a rate card: a name, a default hourly rate, and a currency. Create one per client, engagement, or role — whatever matches how you price time.

Apply it to a time entry

On Finance → Timesheets, open (or log) a time entry and choose the rate card from the dropdown. XBuddy fills in the hourly rate from the card, and you can still override it for that one entry if the engagement calls for a different price. The rate-card field works on any employee’s entry in the company, not just entries you personally logged, so a finance user can assign or correct billing rates across the whole team from one place.

Approve and bill

Once the entry is approved under Finance → Timesheet Approvals, it becomes billable. Convert billable time into a customer invoice from Finance → Timesheets — each resulting line carries the rate that was on the entry at the time it was billed.
