Deal approvals & activities
Each deal keeps a log of activities and can go through an approval step before it moves on.
When to use
Use approvals when a deal above a certain size or discount needs a manager’s sign-off. Use activities to record calls, meetings and notes, and challenges to raise a blocker and get a reply from a colleague.

| Scope | Approvals and activities follow your data scope (own, team or all) |
Request an approval
Define a rule
An administrator sets a deal approval rule (for example by deal value) in the CRM settings.
Submit the deal
On the deal, request approval. The deal is routed to the approver the rule names.
Approve or reject
The approver approves or rejects. The outcome is recorded on the deal.
Activities and challenges
Log activities on the deal timeline. If something blocks progress, raise a challenge: it opens a thread where colleagues reply, and it can be moved through its own states until resolved.
Tips & common mistakes
- Submit for approval before promising terms to the customer.
- Keep challenge threads on the deal rather than in chat so the history stays with the record.
- If you cannot see a deal, check your data scope first.
