Reports & automation
Overview (/tasks/overview)
Quick KPIs: open tasks, overdue, completed in the period, waiting for review. For executives and team leads to grasp the situation in a minute.
Reports (/tasks/reports)
| Report | Path | Answers |
|---|---|---|
| Completion | /tasks/reports/completion | How many tasks the team completes, the trend over time, on-time rate |
| Workload | /tasks/reports/workload | Estimated hours per person against capacity — who is overloaded, who has room |
| Overdue | /tasks/reports/overdue | Which tasks are late, by how much, and whose |
Reports only include data within your visible scope. Custom reports on task data can be built in Report Builder.
AI Agents (/tasks/automation/agents)
Task-domain agents are skills of the Project Manager assistant:
| Agent | What it does |
|---|---|
| Smart assigner | Suggests a suitable person based on skills and load |
| Velocity coach | Nudges and suggests when tasks are slow / overdue |
| Bottleneck detector | Scans everything for blockages in the flow of work |
| Overdue risk predictor | Flags tasks likely to slip |
| Dependency blocker alert | Reports tasks blocked by dependencies |
Agents only suggest; changes apply only after someone confirms.
Workflows (/tasks/automation/workflows)
Build automation rules on task events, for example:
- When a task moves to In Review → notify the team lead
- When a task becomes overdue → remind the assignee and raise the priority
- When a deal is won → create kickoff tasks for the delivery team
Workflow actions can create tasks, change status / priority, assign people, add comments, add dependencies and log time.
Notifications
You are notified (web, email, mobile) when: a task is assigned to you, a task is due soon, a task is overdue, there is a new comment, you are @mentioned, and on review events. Turn each type on or off in Settings → Notifications.
Tasks created from elsewhere
Tasks are XBuddy’s shared execution layer. Tasks can come from: projects, Customer Success playbooks, meeting conclusions, CRM (leads, deals, contacts), the /task, /start and /done commands in Team Chat, the AI assistant and workflows. All of them go through the same rules and show their origin in the Document chain.
