Self-Service Portal

The Self-Service Portal is every employee’s personal home inside XBuddy. Instead of emailing HR to request leave or asking for a payslip, employees do it themselves — submit requests, view their own records, and keep their profile up to date, all from one place.

It is platform-free, meaning every employee gets access regardless of which packs your company subscribes to. The portal is intentionally read-mostly and scoped to the logged-in user: people only ever see their own leave, payslips, attendance, OKRs, and documents. This offloads routine questions from HR and Payroll while giving employees transparency into their own data.

The Self-Service Portal is available to all employees — it does not consume a pack seat. Data flows from HR, Payroll, LMS, and OKR; employees act on their own records only.

Important features

Requesting and tracking leave

Open the leave screen

Go to Self-Service → Leave to see your current balances by leave type before you request.

Submit a request

Choose the leave type, dates, and reason. The portal checks your balance and blocks the request if it exceeds what’s available.

Track approval

Watch the request move through the approval chain. Once approved it appears on your attendance and the company calendar, and Payroll deducts it automatically.

Viewing payslips

Open payslips

Go to Self-Service → Payslips to see every pay period, most recent first.

Review the breakdown

Open a payslip to see gross pay, allowances, deductions (tax, social insurance), and net pay for that period.

Download for records

Download the payslip as a PDF for your own records, loan applications, or tax filing.

Tracking your OKRs and growth

Review your objectives

Go to Self-Service → My OKRs to see the objectives and key results assigned to you.

Update progress

Update the current value on each key result so your manager sees live progress without a status meeting.

Enroll in training and update skills

Go to Self-Service → Training to browse and enroll in available courses, then update your proficiency in Self-Service → Skills as you learn.

Attendance, documents, and profile

Check your attendance

Go to Self-Service → Attendance to review your check-in/check-out history and flag any missing punches.

Access documents and certificates

Go to Self-Service → Documents for shared policies and handbooks, and Self-Service → Certificate for your personal certificates.

Keep your profile current

Go to Self-Service → Profile to update contact details, emergency contacts, and bank information used by Payroll.

Common workflows

  1. Request annual leave — Open Leave → check your balance → submit dates and type → the request routes to your manager → on approval it lands on your attendance and calendar and is deducted in the next payroll run.
  2. Get a payslip for a loan application — Open Payslips → select the pay period → review the breakdown → download the PDF to attach to your application.
  3. Update your OKRs before a review — Open My OKRs → update the current value on each key result → your manager sees live progress ahead of the review, no separate status update needed.

FAQ

Q: Do I need a paid pack to use the portal? A: No. The Self-Service Portal is platform-free and available to every employee regardless of your company’s subscription.

Q: Can I see other people’s leave or payslips? A: No. The portal is scoped to you — you only ever see your own leave, payslips, attendance, OKRs, and documents.

Q: Where does my payslip come from? A: Payslips are generated by the Payroll module each pay period and published to your portal for viewing and download.

Q: I have a missing check-in — can I fix it myself? A: You can flag missing punches from the Attendance screen and request a correction, which your manager reviews before it’s applied.

Q: Will updating my bank details change how I’m paid? A: Yes. Bank information in your Profile is used by Payroll for salary disbursement, so keep it accurate.
